The following is a summary of the policy:
Federal regulations require that a student receiving federal financial aid make satisfactory academic progress in accordance with the standards set by the federal government and the Chabot-Las Positas Community College District (CLPCCD). Application of these requirements include all terms of enrollment, whether or not aid was awarded or received.
The College Financial Aid Office will evaluate satisfactory academic progress each term after Admissions & Records has completed processing of grades, and before aid is disbursed for the following term.
How do I check my SAP status on CLASS-Web?
To meet SAP standards, these conditions must be met:
- Student must demonstrate a minimum 67% cumulative completion rate
- Student must demonstrate a minimum 2.0 cumulative GPA
- Student has attempted less units than 150% of the length of their declared official academic program.
Students who fail to meet the completion rate or GPA conditions will be placed into a WARNING Status for one (1) term. Students who fail to meet condition 1 or 2 above while on WARNING status will be DISQUALIFIED. Students who have attempted more units than 150% of the units required to complete their declared academic program will be placed on Excessive Unit Disqualification.
Students automatically regain eligibility for financial aid from DISQUALIFIED status when they demonstrate a 67% minimum completion rate and minimum 2.0 cumulative GPA.
APPEALS FOR DISQUALIFICATION
Petition for Reinstatement of Financial Aid
Under certain documented extenuating circumstances (e.g. student’s serious illness or accident; death, accident or serious illness in the immediate family; other mitigating circumstances) students who fail to meet SAP standards and lose eligibility for financial aid may appeal the financial aid disqualification by filing this petition. Students must clearly state and document what caused the problem and must also clearly explain what has changed that will now allow the student to succeed. Students must submit a full Student Education Plan and must pass all three GetSAP counseling sessions (https://lpc.get-counseling.com/) before filing a Petition for Reinstatement of Financial Aid.
If there were not extenuating circumstances or there were circumstances which cannot be documented, a student may file a Reinstatement Petition based on ‘improved academic performance’. To do so, the student must demonstrate that during their most recent term of attendance they earned at least 6 units, the units earned were at least 75% of units attempted, with a minimum 2.5 GPA.
If a Reinstatement Petition is granted, a student is placed on PROBATION for the next term and is required to meet both minimum cumulative GPA and cumulative completion rate at the end of the term, or student will be disqualified until s/he meets the required minimums. In certain cases students may be placed on a CONDITIONAL PROBATION status which requires specific conditions that must be met during the Probation period in order to remain eligible for financial aid on a Probationary status. Student who do not meet the required conditions will again be disqualified.
Excessive Units Petition
Students are allowed a maximum time frame of 150% of program length, measured in attempted units, in which to automatically be eligible to receive financial aid. AA,AS, AAT, AST and Transfer programs are considered as 60 unit programs; at 90 attempted units a student has reached the maximum timeframe to receive financial aid for such programs. Certificate programs vary; the maximum timeframe is based on 150% of the program length of a certificate. A student pursuing a 30 unit certificate program will reach the maximum timeframe at 45 attempted units.
A student may file a Petition for Excessive Units when they have been disqualified due to reaching the maximum timeframe. An appeal will not be granted if a student does not meet both the 67% cumulative completion rate and minimum cumulative 2.0 GPA at the time of petition, in accordance with federal regulations. Petitions are approved for a limited number of terms. The student must continue to meet all satisfactory academic progress standards each term and must enroll into the courses remaining on their SEP as a requirement, or will be permanently disqualified.
